How Do I Set a User's Start Date and/or End Date?

Start and end dates are important for leave accrual calculations and reporting.

Setting start date

During user creation

  1. Go to People → Add Employee
  2. In Job Information section
    • Find Start Date field
    • Select the employment start date
  3. Complete remaining steps and save

For existing users

  1. Go to People → Employees

    • Find the user
    • Click on their name
  2. Edit job information

    • Click Edit in Job Information section
    • Or menu → Edit Employee
  3. Update start date

    • Find Start Date field
    • Select or enter the correct date
    • This affects leave accrual calculations
  4. Save changes

    • Click Save
    • Leave balance may recalculate based on new date

Setting end date

  1. Go to People → Employees

    • Find the user
    • Click on their name
  2. Edit job information

    • Click Edit in Job Information section
  3. Set end date

    • Find End Date field
    • Select the employment end date
    • Or set status to Inactive
  4. Save changes

    • Click Save
    • User access may be restricted after end date

Impact of dates

Start date

  • Leave accrual: Determines when leave starts earning
  • Pro-rating: Affects first year leave allowance
  • Reports: Used in tenure calculations
  • Eligibility: May affect policy eligibility

End date

  • Access: User may lose access after end date
  • Status: Automatically sets user to inactive
  • Reporting: Used in historical reports
  • Data: User data is preserved for reporting

Tips

  • Set accurate start dates for proper leave accrual
  • Use actual hire date, not onboarding date
  • Set end dates when employees leave
  • Review dates when updating employment status
  • Start date changes may recalculate leave balances
