How to make a user inactive?
Making a user inactive removes their access while preserving their data and history.
Steps
Go to People → Employees
- Find the user you want to deactivate
- Click on their name to open their profile
Access edit mode
- Click Edit button
- Or click ⋮ menu → Edit Employee
Set status to inactive
- Find Status or Account Status field
- Change from Active to Inactive
- Or toggle the Active switch to OFF
Set end date (optional)
- Enter End Date if the employee has left
- This helps with reporting and historical data
Save changes
- Click Save
- User is now inactive
What happens when inactive
- ✅ User cannot log in to Wibby
- ✅ User data and history are preserved
- ✅ Leave requests remain in the system
- ✅ Reports can still include inactive users
- ✅ User can be reactivated later if needed
Reactivating a user
- Edit the user
- Change status to Active
- Save changes
- User can log in again
Tips
- Set end date when deactivating former employees
- Inactive users don't count toward active user limits
- Historical data remains accessible
- Consider bulk deactivation for seasonal workers
