How do I set the leave allowance from the hire date of the user?
Setting leave allowances from the hire date ensures employees receive the correct amount of leave based on when they joined your company.
Steps
Go to Settings → Policies
- Select the policy you want to configure
- Click View to open policy details
Edit the leave type
- Find the leave type you want to configure
- Click Edit next to the leave type
Enable pro-rating from hire date
- Find the Pro-rating or Accrual Start section
- Select From Hire Date or From Employee Start Date
Configure accrual method
- Choose how leave is earned:
- Monthly: Leave earned each month from hire date
- Quarterly: Leave earned every 3 months
- Annually: Pro-rated annual amount based on hire date
- Choose how leave is earned:
Set pro-rating calculation
- Full year: Full allowance if hired before policy year starts
- Pro-rated: Partial allowance based on months remaining
- Example: Hired in July = 6 months = 50% of annual allowance
Configure for new hires
- Immediate accrual: Starts earning from hire date
- Delayed start: Accrual begins after probation period
- First year adjustment: Special rules for first year
Save changes
- Click Save to apply settings
- Changes apply to all employees with this policy
Example calculations
Monthly accrual from hire date
- Annual allowance: 20 days
- Hire date: July 1st
- Monthly rate: 1.67 days/month
- Remaining months: 6 months
- First year entitlement: ~10 days (pro-rated)
Annual grant pro-rated
- Annual allowance: 20 days
- Hire date: September 1st
- Months remaining: 4 months
- Pro-rated amount: ~6.67 days (4/12 × 20)
